Title: Public Relations Coordinator

Reports to: Account Managers

Job Summary:  

Love wine, food and travel? We are seeking a public relations and social media coordinator with a serious interest in, and preferably experience with, the wine and travel industries. Ideal candidates are located either in California or the NorthEast. Qualified candidates in other locations will also be considered, as this is a fully-remote position. 

The Account Coordinator will coordinate and execute Public Relations projects under the supervision of the team’s director and managers.  This role encompasses media relations, social media, and administrative support activities. Daily job duties will include media and influencer research and outreach, writing (blogs and social media content), coordinating press visits and events, and tracking/reporting results.

The ideal candidate has a passion for wine, food and travel, and actively explores these passions in their own time through reading blogs and magazines, following influencers, cooking, wine tasting, frequent dining out, and/or writing a personal blog or social media page about their adventures. They love writing and consider themselves an excellent writer, with examples to prove it. They are self-motivated, calm in chaos, extremely organized, deadline-driven, receptive to criticism, and proactive about finding solutions to problems. They are a critical thinker who asks questions and wants to understand “why” as well as “how.” 

Responsibilities:

Client Facing

  • Assist supervisors in coordinating all PR projects and campaigns in client work plans
  • Track all public relations results, such as media hits and partner mentions
  • Update client Tracking Reports
  • Organize client Status Calls and Agendas, and take clear, neatly organized notes in order to generate recaps
  • Draft press releases, media alerts, story pitches and other media materials as needed
  • Support with distributing press releases and pitching stories in order to generate media visibility for clients
  • Source and edit photos and videos as needed
  • Carefully research media and influencer targets, build target lists for messaging campaigns, and continually update lists to maintain accuracy
  • Respond to media queries and requests for information
  • Develop relationships with journalists and influencers
  • Assist with vetting media requests, such as interviews and press trips
  • Support PR Manager in designing itineraries for press, influencers and trade guests, scheduling activities, accommodations, dining and travel, and providing all relevant and necessary information to ensure a smooth experience and facilitate resulting stories
  • Deliver approved itineraries to digital counterparts to incorporate social media handles and hashtags, and assist with real-time social media engagement during the visit as needed
  • Deliver all assigned projects on deadline
  • Maintain excellent communications with supervisors and other team members
  • Maintain excellent communications with clients, vendors or any other persons with whom you work 
  • Assist with creating presentations and project briefs
  • Represent clients and agency at events as needed
  • Contribute creative ideas and solutions to client challenges; actively participate in brainstorms

Internal

  • Communicate challenges to supervisors in a timely manner
  • Display excellent time-management and organizational skills
  • Monitor media and digital trends and share news/insights in company meetings and emails
  • Support new business development by contributing ideas to proposals, networking and sharing ideas for prospective clients or service areas
  • Improve your industry knowledge and relationships on an ongoing basis by pursuing networking and ongoing educational opportunities

Required Skills and Qualities:

  • Excellent written and oral communications; preferred background and education in Journalism or Public Relations (B.A. in English, Marketing and related fields also qualify)
  • Acumen with office software, including spreadsheet, word processing, Google Drive and presentation software; must understand how to create and format spreadsheets using basic formulas
  • Excellent research skills 
  • Excellent organization and adherence to deadlines
  • Social media savvy
  • Passion for food, wine and travel
  • Positive attitude, flexibility and grace under pressure
  • Professional appearance and grooming
